TERMS OF REFERENCE –ToR –
Procurement of office furniture for CBM
- Introduction
Community Building Mitrovica (CBM) is a local non-governmental organization (NGO) operating in the field of peace and community building in the wider region of Mitrovica, northern municipalities of Kosovo. The overall aim of CBM is to facilitate contact and dialogue between citizens in the seven Mitrovica region municipalities. CBMs staff consists of devoted citizens – both Serbs and Albanians – who grew up in this region and want to restore the previous confidence and even friendship that war and politics have destroyed.
By supporting many concrete projects which address the direct needs of the local communities, CBM contributes in a modest way to this aim. The work of the past years has gained the organization a strong reputation on both sides of the Iber. Fields in which CBM works are: media, culture, youth, women, minorities, dialogue, and return of refugees and IDPs (Internally Displaced Persons).
CBMs projects are open to members of all communities living in Mitrovica, and wider. CBM often cooperates with other NGOs, helps out with local initiatives, and works with local governmental institutions and international organizations in order to initiate, to develop, and to implement activities, for the benefit of the communities, in Mitrovica, and wider.
- About the Call
All businesses, companies, or individuals licensed and interested are invited to submit their offer and to be part of the selection process. Compensation/product must be the listed per unit and without VAT (according to the description of the requests in this call: "Request for the offer").
- Required documentation
Along with the quotation, the bidder must also submit original or notarized copies of the following documents:
- Certificate of registration of the subject in the Republic of Kosovo;
- Relevant license to exercise the activity (in accordance with the object of this procurement procedure);
- The company representative(s) should visit CBM’s office space, take measurements, and provide a 3D model of the final product before the submission date of the application.
- If in addition to the price offered the supplier applies % discount, then it must be stated in the offer;
- Catalogs with offered products;
- Delivery time of products is 15 calendar days.
Offers should contain the following supplies with all the other details:
- 5 desks with drawers
- 5 chairs
- one shelve
- 5 filing cabinet with lockable doors
- one conference table
4. Criteria
* Bids submitted without specified prices, without the required documents above and outside the deadline will not be considered.
* CBM will select the supplier that best suits its needs based on the criterion "best quality in money and time".
5. Timeframe
This section specifies the start and end dates, including deadlines (such as interim process updates) and key milestones.
Fifteen (15) days after signing of the contract the company or individual business will have to provide to CBM with the furniture.
The deadline for submission of financial bids will be no later than November 5, 2020, at 16:00. The offer must be submitted in one of the following two forms:
1. To be delivered in a sealed envelope, in printed form, signed by an authorized person, at the address: Str. "Avdullah Shabani” no.6 . The envelope should be written "Financial offer for the procedure" Furniture for Community Building Mitrovica".
2. To be sent by e-mail in PDF format, signed by an authorized person to the e-mail address: procurement@cbmitrovica.org. The subject of the e-mail should be written "Furniture for Community Building Mitrovica".
6. Conditions
All businesses, companies, or individuals licensed and interested need to send the following documents:
- The interior design 3D model after the measures
- The offer with the prices (detailed)
- The timeline of the work
